A wrong name spelling, a joining date that does not match your appointment letter, an exit date your old employer never marked – small errors in your EPF account that turn into rejected claims, stuck transfers and frozen withdrawals exactly when you need the money. The fix is the Joint Declaration (JD), and since EPFO’s January 2025 simplification (which replaced SOP 3.0 of July 2024), most members can now do the whole thing online from the member portal – many corrections without uploading a single document. Here is the complete, current procedure.
First, find your category – it decides everything
| Category | Who falls here | How corrections work |
|---|---|---|
| A | UAN generated on or after 1 Oct 2017 (Aadhaar-based) | Fully online; most profile fields are self-approved against Aadhaar instantly – no documents, no employer |
| B | UAN generated before 1 Oct 2017, but name/DOB/gender already Aadhaar-validated | Online; some fields self-approved, others routed through the employer |
| C | UAN not Aadhaar-validated, no UAN, or deceased member cases | Physical JD form at the EPFO office, via employer (or magistrate/gazetted attestation if the establishment is closed) |
Who approves what – the 11 correctable fields
| Field | Category A | Category B |
|---|---|---|
| Name / DOB / Gender | Self (Aadhaar match) | Self, then employer |
| Father’s / Spouse’s name | Self | Self, then employer |
| Mother’s name / Marital status | Self | Self |
| Nationality | Self (Indian / international-worker change) | Self |
| Date of Joining | Self – if it matches the contributions received | Self – if matching contributions |
| Date of Leaving | Self if matching contributions | Employer; goes to the EPFO field office (APFC) if it does NOT match contributions |
| Reason of leaving | Via employer | Via employer |
Step-by-step: filing the Joint Declaration online
- Log in to the Member e-Sewa portal (unifiedportal-mem.epfindia.gov.in) with UAN and password.
- Open the “Joint Declaration” option (under the Manage menu).
- Select the Member ID (the specific employment) whose record you want to correct – corrections are per member ID, not per UAN.
- An OTP comes to your Aadhaar-linked mobile – verify it.
- Choose the field, and enter the corrected value alongside the existing one.
- Where documents are required, upload them as a single PDF (keep it under the portal size limit; scan clearly).
- Submit. Aadhaar-matched fields for Category A approve instantly; employer-routed requests appear in the employer’s login for approval, then travel to the EPFO office where required.
- Track status on the same screen. Typical end-to-end time for employer-routed cases is 20-25 days – and the most common bottleneck is simply that the employer has not opened the request.
Documents that actually work, field by field
| Correction | Strongest documents (any one) |
|---|---|
| Name | Aadhaar match (none needed for Cat A); else passport, birth certificate, PAN, school leaving certificate, gazette notification for full name change |
| Date of birth | Birth certificate, board marksheet, passport, PAN; medical certificate + notarised affidavit as fallback |
| Date of joining | Appointment letter, employee/attendance register, employer letter on letterhead, self-declaration |
| Date of leaving | Resignation/termination letter, experience certificate, full-and-final letter or last wage slip, employer letterhead letter; FIR/legal-heir certificate in death cases |
| Reason of leaving | Resignation letter, employer letter, termination letter, death certificate |
The tricky cases – and how to handle them
Employer not approving: the request sits in their portal queue. Escalate politely with HR first; if it stalls, raise a grievance on EPFiGMS (epfigms.gov.in) quoting the JD request – field offices do chase employers.
Old employer shut down: Category C route – physical JD with attestation by a magistrate or gazetted officer plus the document checklist, submitted at the jurisdictional EPFO office.
Exit date never marked: if you simply need an exit date recorded (not corrected), you can self-mark your exit on the portal (Online Services > Mark Exit) any time after two months from leaving, using your last contribution month. The JD route is for correcting a wrong date already recorded.
Aadhaar itself is wrong: fix Aadhaar at UIDAI first. The entire simplified system validates against Aadhaar – correcting PF to match a wrong Aadhaar only doubles the work.
While you are at it – check your PF maths
Project your EPF corpus with the 8.25% rate, the EPS split and the Rs. 15,000 ceiling option handled.

Can I correct my PF name without my employer now?
Yes – if your UAN is Aadhaar-based (generated from 1 October 2017) the name correction is validated against Aadhaar and approved automatically online. Older UANs route through the employer; non-Aadhaar-validated accounts still need the physical route.
How many times can I use the Joint Declaration?
EPFO caps repeat changes for certain fields (e.g., name and DOB changes are intended as one-time corrections). Get the supporting record right before filing rather than iterating.
My exit date is wrong and does not match contributions – what happens?
The request routes through your employer and then the APFC at the field office, with documents like your resignation letter or F&F statement. Expect it to take longer than Aadhaar-matched corrections.
Does the JD correct my details across all my old jobs at once?
No – profile fields like name sit at UAN level, but employment-specific fields (joining date, exit date, reason) are corrected per member ID. File separately for each old account that is wrong.
Whom do I contact if nothing moves for weeks?
First the employer (most delays die in their approval queue), then EPFiGMS grievance, then the RPFC of the jurisdictional office. Keep the JD acknowledgement number handy in all follow-ups.
